With the creation of new units of educational institutions, such as Faculdade de Miguel Pereira and the expansion of campuses in Maricá and Saquarema, in addition to the construction of the new Vassouras University Hospital, the foundation faced the challenge of integrating the management of different areas, in different municipalities, and maintaining the quality of services. In this context, FUSVE implemented several TOTVS solutions, including ERP TOTVS Backoffice – Linha RM, TOTVS Financial Management – Linha Gesplan and TOTVS Instant Payment, in addition to specialized solutions such as TOTVS Educacional and Student Recruitment by Rubeus.
“TOTVS solutions have impacted all of the institution’s processes, as many activities were still performed manually or by different systems without integration. With the implementation of TOTVS Backoffice – Linha RM, we were able to centralize all of the administrative and financial management processes and automate them. This change has provided us with a 50% optimization in time, directing the efforts of employees towards other projects, mainly focused on the future and expansion of the institution”, highlights Álvaro Luiz Pereira Leiróz, systems analyst at Univassouras.
In addition to the financial management module of the TOTVS Backoffice system – Linha RM, the institution also implemented TOTVS Financial Management – Linha Gesplan, enhancing treasury controls and financial operations. In addition, it made PIX available for school tuition payments, through TOTVS Instant Payment, integrated with the ERP. “All of these processes go through the business areas and reach the Controller's Office, which in 2014 made 100 accounting entries in the TOTVS systems – in 2023 there were more than 10 thousand entries through the contracted solutions”, highlights Leiróz.
Looking at academic management, with TOTVS Educacional, Univassouras was able to parameterize all management in the academic system, managing courses, disciplines, classes, curricular matrices, grades and absences for release by professors, providing better time management, agility and clarity for daily activities. In addition, the visualization of academic processes generates important indicators for the University's senior management, such as dropout data, formed by semester and course, potential clients by region, among others, supporting and improving the institution's strategies. Finally, with the Student Recruitment by Rubeus solution, Univassouras was able to centralize all marketing automation, student recruitment and retention management at the institution.
