Integrator deploys and manages one of the largest global print outsourcing contracts

The monthly management of 60 million printed pages by 15,000 equipment installed and managed in more than 5,200 locations throughout the national territory, including the boat agencies in the northern region, is part of one of the largest global printing outsourcing contracts signed by Sonda, one of the main Latin American technology solutions and services companies, with Caixa. The services provided reduced the management complexity of Caixa's IT area by 28% in this process, thus freeing up 72% of its resources to focus on the business, in addition to reducing costs by 40%.

The contract originated due to the great capillarity and excessive cost for Caixa to maintain and manage its printer park in all units throughout the national territory. The demand arose from the publication of a public notice for the implementation of the Departmental Printing Outsourcing service, with toner supply, technical maintenance and management.

The project, considered highly complex in terms of implementation and management due to the number of units and users, with geographic dispersion throughout Brazil, has as main objective to increase the quality of the services provided, reducing the complexity of managing the IT area, which consequently frees up resources for key business processes. "Managing assets is not a simple task. More than leasing and selling IT infrastructure equipment, our outsourcing services include environment administration, technical support and inventory management", says Viviane Ricci, vice president of government sales at Sonda. .

The scope of the project involved the exchange of the technological park for state-of-the-art multifunctional printing equipment in all customer units, supply of original supplies, consumables and parts, technical assistance with specialized labor, help desk and a system for registration and management of incidents, management of inputs with active monitoring and replacement logistics throughout the national territory, centralized ticketing and training of key users, preparing them to be multipliers of knowledge within their respective units, among others.

Together, the standardization of the printing and copying facilities guarantee constant technological updating, which provides Caixa with numerous benefits, including: elimination of waste, optimization of printing and copying, elimination of printer maintenance contracts, assertiveness the purchase and supply of supplies, identification and accurate accounting of printing and copying costs, security in the processing of confidential documents to be printed, proactive solutions to be implemented by technical and specialized personnel, cost control, apportionment of expenses by user, decrease in TCO, reduction of suppliers and parts costs, remote management, reduction of help desk costs, increase in productivity, rationalization of the number of printers and elimination of stock and purchases of supplies and parts, in addition to clean outsourcing by planting trees to neutralize printed pages.
