TIVIT, a Brazilian multinational that accelerates business through technology, created an ECM solution to digitize digital stub services for a giant company in the chocolate sector.
The company's main challenge was to extend payment terms globally, without financially harming the carrier's cash flow. Thus, through ECM solutions with digital documents, TIVIT developed a WEB platform that allows interaction with scanners (hardware) for massive uploading, meaning that proof of deliveries made on the day by the carrier are digitized from any location and In real time.
“For this process, we created an application in which stubs that have already been scanned at the end are received and used to prove delivery. Then, they go through an audit process and verification of mandatory data and, if they are in accordance with expectations, the issuance of payment notes are instantly released”, explains TIVIT operations director, Helenice Oliveira.
The solution also has an OCR tool that recognizes the receipt and pre-indexes it in the existing database, allowing the client to manage KPIs according to their business path. The platform also generates a detailed analytical report for operational monitoring purposes, as well as recording actions by user profile.
According to Helenice, the positive impacts with the TIVIT solution were immediate. “The deadline for issuing a note to the transporter, which used to take, on average, 45 working days, was reduced to 4 working days – a saving of 91% in time. If the note issuance time decreases, the carrier's global payment demand also decreases, which makes the company much more competitive in the global market”, he points out.
With this new functionality, the chocolate company was able to adjust payment deadlines and revenue recognition (sales) more quickly. “Having the support of TIVIT to understand our needs and serve us in an integrated way impacted the entire business chain and increased both the cash flow of suppliers and the business revenue”, concludes the executive.
