Microsoft SharePoint implementation carried out by Brasoftware took the new cloud computing technology to the public agency
 
Microsoft SharePoint is a communication and collaboration platform to enable intranet, extranet and internet in companies. With it, several people from the same company can access files simultaneously and from anywhere, and also leave notes and share files in a structured way.
 
The suggestion to adopt this platform was very well received by the Public Ministry of the State of Espírito Santo. Public agency employees were used to traditional file servers for storing content. But the migration to a more flexible technology and remote access became necessary to make the day-to-day of the institution more productive. “The Ministry needed a solution that could store and share with the entire team, whether local or remote employees, facilitating the dissemination of content, including on mobile devices”, highlights André Oliveira, Solution Manager at Brasoftware.
 
One of Microsoft's biggest partners, Brasoftware was responsible for implementing the new technology in MP-ES. “It works as a kind of private cloud, which exists only for the Public Ministry. The added value of this project was to enable them to have a proprietary infrastructure, with local and remote access to documents, PDFs and images”, emphasized André.
 
Implementation took about two months. Among the many features, SharePoint creates a document library, automated forms, image bank, shared calendars, version history (no need to save updates all the time) and team task management.
 
“We chose SharePoint because it provides many features, such as Microsoft OneDrive, for sharing data. As we are part of a large public body with intense demands, we prefer to migrate to the cloud gradually, offering our employees an internal cloud at first and then migrating to an external one”, emphasizes Adeilson Brito, IT Director of the MP – ES The executive reinforces that there are still future plans for the institution: “In five years, we want 70% of our services to be hosted in the cloud”.
 
The Public Ministry's planning fits with the research by the IDC (International Data Corporation) which bets that by 2018 the world will definitely adopt cloud computing and cloud will be unanimous in the choices. Initiating a culture of using this technology in a public agency requires breaking the barriers of traditionalism and bureaucracy in this sector to prepare the mindset of users. The relevance in terms of increasing agility and productivity in the processes of the Public Ministry of Espírito Santo so that judges and prosecutors can more easily access the information stored was fundamental to make the change.
 
“Imagine that the Civil Police want to send 30 megabytes of file to the MP”, hypothetically illustrated Adeilson. “In the old way, we tried to exchange information via email, but today not every corporate messaging system supports attachments of this size. Now the user who will use these files shares a folder on SharePoint, also facilitating external communication”, he concluded.
