TJSP relied on Brasoftware to bring more than 50,000 employee accounts to the Microsoft cloud platform following all the steps of adoption.

In order to modernize its technological park and optimize internal processes, the São Paulo Court of Justice (TJSP), considered the largest court in the world, with 2,600 judges, 360 judges and 56,000 employees – including judges, assistant judges and substitute judges – in 319 districts of the state, it counted on the performance of the technology provider and Microsoft partner, Brasoftware, to migrate the accounts of more than 50 thousand employees to the Microsoft cloud platform, Office 365.

Initially conceived to meet demands and optimize processes, the project proved to be of paramount importance due to the restrictions that email boxes contained, in addition to limiting the productivity of its servers and magistrates. In this way, started at the end of 2018, and completed in October 2019, the project was divided into three fronts, the first aimed at data migration and the others at the process of adopting the tools of the Office 365 platform.

Rodrigo Rick Vieira, Services Manager at Brasoftware, highlights that one of the highlights during the project was the agility in data migration. "One of our biggest challenges was the deadline of just a month and a half to transfer all accounts to the Office 365 platform, although quite challenging, we were able to fulfill it on schedule, also ensuring we support the team responsible for level 1 services, that is, via the Helpdesk, until the migratory wave was completed".

On the second front, the Brasoftware team focused on understanding the needs of the TJSP's business areas, evaluating the profiles and making available to each of them the features that would best meet their day-to-day needs, planning what the governance plan would be. adopted during the process. "One of the crucial points for the successful adoption of Office 365 was to personalize the speech in a way that was directed by TJSP's business area - ensuring that all professionals would have the same level of productivity, integration and collaboration, regardless of their knowledge about technology", says Fernando Ornellas, Adoption Manager at Brasoftware.

Training

In this adoption process, the company also held about 69 workshops so that all court employees could have a first contact and make the most accurate use of each of the tools implemented.

For the assistant judge of the presidency of the TJSP, Dr. Paula Lopes Gomes, responsible for heading the project, while in the implementation phase the number of users that would be migrated was the main concern, the biggest challenge in the adoption phase was to take the workshops to their administrative regions. "Our goal was to also offer the meetings to all its 10 administrative regions in person. As the TJSP is very large and is spread across the state, we have the help of Brasoftware, Microsoft, the F1 agency and our areas of communication and technology to help us in this process and also to help us in the elaboration of the contents that would be presented in these workshops", said the judge.

"In all, we had the participation of 7326 thousand people in the training that lasted about 2 hours. The workshops took place in person throughout the State of São Paulo and virtually via Microsoft Teams, with the purpose of spreading knowledge among TJSP employees, enabling both those who had N1 licenses as well as those who had N3 licenses", comments the Coordinator of Administrative Systems of the TJSP, Amaro Kanashiro Andrade, who also highlighted that among the modalities, the majority of employees (83%) chose to participate virtually. "This data just points out that users today have a greater adhesion to the new means of work, those that offer greater mobility and agility to connect people to information", he declared.

Technological evolution has also advanced in security. "The Office 365 platform offers the TJSP tools for data protection, control and governance, something that is fundamental for the new LGPD (General Data Protection Law) regulations", says Fernanda Esteves, Account Manager at Brasoftware.

On the third front, managing the identity of users on the Office 365 platform made it possible to integrate with TJSP applications and enable the creation of unified users, without having to create a new account for each application used.

Productivity and collaboration reached several business areas of TJSP. "The use of easily customizable services, such as Microsoft PowerApps, Microsoft Flow, Sharepoint and Teams, continuously contribute to the technological advancement and efficiency of specific jobs, even for users not adept at technology", says Guilherme Taliba, Technology Manager at Brasoftware .
