Project standardized office and email tools
Brasoftware, one of the main technology providers in the country, developed an unprecedented project for the health sector in the state of Espírito Santo. Associação Evangélica Beneficente Espírito-Santense (AEBES), through Hospital Evangélico de Vila Velha, became the first institution in this segment to migrate 100% from e-mails and office application suite to the cloud with Microsoft Office 365, under the SaaS (Software as a Service) model.
AEBES, a non-profit association, manages three important hospitals in the state – the Evangelical Hospital of Vila Velha (HEVV), its own hospital; the Municipal Maternity Hospital of Cariacica (MMC); In addition to the State Hospital Dr. Jayme Santos Neve (HEJSN), in Serra, the largest public hospital in the region. The group has around 2,800 direct employees, a number that has increased in recent years with the institution's strong growth. This fact reinforced the need for a state-of-the-art IT infrastructure to support the demand. The main reason for the adoption of Office 365 was to adapt the products and facilitate the administration of the productivity and messaging software, which gained security, high availability, standardization of applications and agility.
“When we started the first project ideas, our main need was just the standardization of the Microsoft products used by HEVV. We had several versions of different programs that were not compatible. In this search for solutions, we see Office 365 in the cloud as an excellent option. We did a thorough study and found that, at the time, if we bought Office sold in a “box”, for example, it would even be cheaper, but we would already run the risk of, practically at the time of purchase, the product becoming obsolete. Choosing the mail archived in the cloud was a huge advantage as we kept the version always up to date, through a licensing agreement with Brasoftware”, said Fabrício Fávaro, director of Technology and Innovation at Grupo AEBES.
Office 365 guarantees system updates as new versions become available from Microsoft. Another important advantage for the project was the implementation of Exchange for the mail server. The HEVV did not have an internal e-mail service. Seeking this centralization was a necessary and imminent investment. In Office 365, Exchange came to meet this need, taking accounts to the cloud, which, in addition to providing high availability, also reduces email server costs.

In addition to the challenges that a migration like this usually brings, another issue faced by the teams was a paradigm shift in the association itself. AEBES has innovation in its DNA, always acquiring cutting-edge technologies for hospitals, but the investment in the cloud was still something new and could bring some resistance at the beginning.
“AEBES is a traditional institution, but one that sees innovation as something very positive. We studied a lot on the subject and we knew that the future was the migration to the cloud, so we decided to face and develop this project internally together with the superintendence. We were able to show the advantages and win the vote of confidence to move forward. Brasoftware was very important in this regard”, commented Fabrício Fávaro.
For Brasoftware, the initiative is a pioneer in a very relevant region for the company, which has been operating in the state of Espírito Santo since 2012. “We observe this evolution of the AEBES Group and we also see this need for growth in IT infrastructure. The institution embraced the cause and became a pioneer in the hospital sector with the adoption of Microsoft cloud solutions.
