With the automation of processes, which include workflows, signatures and electronic forms, the company also reduced paper consumption by 30%

The pharmaceutical industry Hypofarma took an important step in the Digital Transformation process by integrating its ERP with the SoftExpert Excellence Suite, a corporate solution that collaboratively meets all the critical demands for excellence in organizational performance. The implementation was carried out by TNX, a SoftExpert partner company.

Acting in an extremely regulated sector, the pharmaceutical company in Minas Gerais, which has an industrial park of 17 thousand square meters and around 500 employees, identified the need to automate and integrate its processes, since many activities were manual, carried out through forms on paper, with physical signatures, Excel spreadsheets and e-mails, which made it difficult to control actions and document traceability, generating bottlenecks, delays and rework.

Now, through the integration between the SoftExpert Suite and the business management solution - ERP - adopted by the company, employees, when consulting medicines or raw materials in the forms of the suite, have access to all the traceability information of these products. Another integration, applied to the SAC occurrences form, guarantees the consultation of invoices in the tool, optimizing the assistance and centralizing the control of information.

In accordance with Anvisa

The IT manager at Hypofarma, Giulio Chiabi, says that the requirements for traceability and data integrity, required by Anvisa's regulatory standards, were met in all stages of the system's validation. “In this way, we are completely confident that our drugs are being produced within the strictest criteria of safety and efficacy”, he comments.

Chiabi also reinforces that the implementation of the solution represented a watershed in the company's Digital Transformation journey and states that new process automation initiatives will be primarily targeted at the SoftExpert platform. “The integration developed with our ERP has expanded the possibilities for sharing information between tools, making solutions intertwined to improve our processes”.

In addition, the processes and action plans started to be managed in real time, generating frequent notifications to those responsible for the actions and, consequently, enhancing the management of non-compliance registration flows, the control of changes and the registration of SAC occurrences . “As a result, our productivity was positively impacted, since we started to act proactively and more effectively in decision-making, based on reliable information provided by the management dashboards”, adds Chiabi.

The organization's goal now is to integrate more business processes into the platform, centralizing information in a single solution, in addition to implementing the Project, Audit, Requirement and Risk components by the end of 2021.
