The Banco do Brasil Employee Assistance Fund (CASSI) faced significant challenges in optimizing its medical procedure authorization processes. The need to reduce analysis time and focus the technical team on highly complex cases motivated the organization to seek innovative technological solutions. The partnership with Microsoft provided a transformation that resulted in significant improvements in efficiency and cost reduction.

Before the implementation of the technology Microsoft Azure, CASSI was dealing with authorization processes that were executed manually, with long analysis and response times to its participants. As reported by Arcilia Machado, CASSI's technical regulation division manager, “the goal was to optimize our authorization process pipeline to speed up analyses and allow our technical team to focus on highly complex cases.”

Overcoming these challenges required three fronts of action:

  • Automation of authorizations: the need to automate the analysis of medical authorizations, traditionally manual, to speed up the process and free up the technical team for more complex cases.
  • Systems integration: integrate different systems and platforms to create a continuous flow of data between the analysis system and the post-analysis processing system.
  • AI Modeling and Implementation: develop artificial intelligence models that could emulate medical decisions and integrate these models into CASSI's operational flow.

To address these challenges, CASSI chose to implement Microsoft tools, which were crucial to the organization’s digital transformation. The solutions chosen were: Microsoft Azure Databricks, used for processing and analyzing large volumes of data; Microsoft Azure Data Factory, for orchestration and movement of data between different systems; in addition to Microsoft Azure Data Lake It's from Microsoft SQL Server for storing and transacting historical data.

Solution Implementation Process

The implementation of Microsoft solutions followed a well-defined schedule and involved several steps, from benchmarking, through model development, review of process flows, integration between systems, and go-live. The process took approximately eight months from conception to production.

The integration of the solutions required the participation of multiple CASSI areas, including regulation, risk, operations and technology. The main challenge was to ensure that the AI concepts were understandable to the business areas, in order to guarantee the necessary confidence to put the solution into production.

The implementation of Microsoft solutions has resulted in a number of tangible benefits for CASSI:

  • Reduction of analysis time: the time to analyze medical requests has been reduced from three days to seconds, allowing for an almost immediate response to requests.
  • Process automation: approximately 10% of authorizations became automated (around 12 thousand per month), without human intervention, increasing the efficiency of the medical team.
  • Cost reduction: there was an estimated annual saving of R$4 million, mainly due to reduced medical labor costs.
  • Resource optimization: the technical team was freed up to focus on more complex cases, improving the quality of service and the management of internal resources.

With the initial success of the implementation, CASSI is already planning to expand the use of Microsoft technologies to other processes. Future projects include the application of AI to the processing of reimbursement requests and the development of a virtual assistant for internal support, using generative AI, to help interpret regulatory documentation and provide guidance to CASSI participants.
